HISTORICAL SOCIETY
ORGANIZATIONAL MEETING
MINUTES
May 29, 1998 9:30 a.m.
Vice Mayor Thomas J. Reid called the meeting to order at 9:30 a.m.
Present were Vice Mayor Reid, Mayor Voress, Commissioner Sorrelli,
Leonard Bell, Don and Mary Rex, Pat Cayce, Dan Stump and Jim
Niehof. f .
This organizational meeting was called to discuss start-up
procedures, and ideas in establishing the Society. It was noted by
Dan Stump that the Society would need to be incorporated with
assorted legal forms being submitted to the IRS. He will bring
draft documentation to the next -meeting.
It was suggested that the name of the organization be "Highland
Beach Historical Society".
The Following ideas were discussed:
. This would be a "citizens organization", not a Town function.
• A mission statement should be established (Pat Cayce will draft
one for next meeting.)
Create a mailing list from the tax rolls, voter list.
. Obtain historical information from appropriate files, ordinances,
newspaper clippings, residents.
Visit local historic societies; find out how they were
established.
Advertise the organization on the Town's internet page
(forthcoming), Government Channel 20, newspapers, flyers.
Suggestions for fund raisers
- auctions; dinners; antique shows; gifts; members dues
Rent office space (there may be a need for office and equipment
at a later date.)
Make a list of residents who may have an interest in joining
organization. Get a lot of people to do a little bit each.
. Ask condo managers, who has lived in town 25 years or so and
would be knowledgeable of history in town.
Have a Historical Society kick-off - possibly incorporate with
town's 50 year anniversary in June of 1999.

Mayor Voress suggested that the organization could either establish
membership with dues or no dues. Vice Mayor Reid suggested a
charter membership might be approximately $10 - $15.
Leonard Bell suggested that because the organization would be
independent of the Town, perhaps it could have the Town's
"umbrella" over it. Mayor stated that the Town could probably loan
the organization start-up monies rather than having to solicit for
same. ($5,000 was suggested.)
Vice Mayor Reid stated that he was not "keen" on using house
lawyers, and suggested obtaining outside counsel to establish the
Organization.
Don Stump was proposed as lawyer and directed to proceed with the
necessary tax filings. He recommended not delaying on doing so, as
the committee can take no action until -this process is complete.
The next meeting has been scheduled for June 12 at 9:30 a.m.
Don Stump will bring a rough draft of the Articles, and Pat Cayce
will bring suggestions for a mission statement.
Motion to adjourn was made by VICE MAYOR REID/MAYOR VORESS at 10:35
a.m.
